Privacy statement by Mainnovation b.v.

In order to perform our activities, we store personal data. We would like to inform you about how we handle your privacy. We comply with privacy legislation. This means that your data is safe with us and that we use it properly. In this privacy statement, we explain which data we collect and how we use it.

Means of communication

Email and (online) documents are some of the means we use to communicate when working together. All our email and documents that are shared online are received, sent and stored through the American company Microsoft. To be able to communicate using email, at least your name and email address are required and, for incoming messages, the IP address of the sending mail server is stored. Microsoft does this to be able to check the sender of the message.

The information is transferred by Microsoft to servers in the Netherlands, Ireland, Finland and Austria. Microsoft is included in the European-American Privacy Shield register and states that it adheres to this. This means that there is an appropriate level of protection for the processing of any personal data. Microsoft may provide this information to third parties if legally obliged to do so, or to the extent that third parties process the information on behalf of Microsoft. We have no influence in this respect.

For our fixed telephony, we use a service from the Dutch company RoutIT. In doing so, telephone numbers of incoming and outgoing calls are stored by RoutIT. This is done in order to obtain insight into whom we have contact with and to be able to make contact if any problems occur. The telephone numbers in RoutIT are not used for other (marketing) purposes by RoutIT or by us. The telephone numbers are stored for five (5) months.

Administration

For our administration and CRM (relation management), we use our own internal systems that are managed by external professional IT companies with which we have Processor Agreements. Your (business) address information, the contact persons, project information and financial data for invoicing are saved here. All data is stored on servers. Financial data is saved for a minimum of seven (7) years; this storage period is legally required.

Archiving

For the archiving of documents we make use of SharePoint, a platform from the American company Microsoft. We do this to be able to save delivered files, share files with colleagues and have an archive to fall back on if problems arise. Copies of these files can also be found on local computers or, if legally required, physically in our office.

All data stored by Microsoft is on servers in the Netherlands, Ireland, Finland or Austria. Minors

Our services are focused solely on business users and are therefore not aimed at minors. Therefore, it is not our intention to collect data from individuals who are younger than 18 years old. If you are convinced that we have collected personal data from a minor without that consent, please contact us. We will then delete this information.

Changes to this privacy statement

When there are changes in our organization or automation processes, we may need to adjust our privacy statement. For this reason, we ask that you please always pay attention to the date at the top.

Inspection and modification of your data

If you have questions or would like to know which personal data we have about you, you may contact us.

You have the following rights:
● Explanation of which personal data we have about you and how we use it.
● Correction of the personal data we have about you.
● Removal of old personal data we have about you.
● Withdrawal of consent to use your personal data.
● Objection to a certain use of your personal data.

Make sure you clearly indicate who you are, so that we are certain we don’t change or delete the wrong person’s data.

Should we still not be able to properly help you, you have the right to submit a complaint to the regulatory body, the Dutch Personal Data Authority (‘Autoriteit Persoonsgegevens’).
